REGULATIONS OF PARTICIPATION HEMPATHY EXPO

 

  1. GENERAL PROVISIONS

1.1. The provisions of these regulations apply to all companies and the entities (hereinafter referred to as Exhibitors) participating in Hempathy Expo in days 15-16.11.2024 r. (hereinafter referred to as the Expo or the Event), organized by Targi Piwne Sp. z o. o. based in Poznań, ul. Głogowska 31/33, 60-720 Poznań, entered into the National Court Register by the District Court in Poznań – Nowe Miasto & Wilda in Poznań, 7th Commercial Division of the National Court Register under KRS number 0000675606, with a share capital of PLN 5,000.00, NIP 779-246 -37-93, REGON 367151832, represented by Grzegorz Stachurski.

1.2. Exhibitors are obliged to:

1.2.1. adapting to the thematic scope of the Expo,

1.2.2. compliance with these Regulations,

1.2.3. compliance “Technical and fire safety regulations in force sinceAugust 16, 2022 year on the premises of the Poznań International Expo Sp. z o. o., and in particular fire safety regulations (point 11 of the regulations) and technical conditions for the implementation of installations and the provision of electrical, water and sewage services (point 9 of the regulations).

 

  1. THEMATIC SCOPE OF THE FAIR

2.1. Entities whose offer includes goods/services included in the list below may participate in the Expo:

2.1.1. products made from or using hemp

2.1.2. Products and accessories enabling the use and storage of hemp products

2.1.3. equipment, seeds and hemp cultivation

2.1.4. education, science and research in cannabis

2.1.5. hemp advice and services

2.1.6. media, culture and social activism

2.1.7. accessories and gadgets related to hemp

2.1.8. other cannabis-related businesses 

2.1.9. companies related to entertainment activities and others matching the theme of the Expo.

2.2. Entities conducting activities other than those listed in points 2.1 may apply to participate in the Expo as a partner or sponsor of the event.

  1. RULES OF PARTICIPATION

3.1. APPLICATION OF PARTICIPATION AND CONCLUSION OF A CONTRACT

3.1.1. Applications for participation in the Expo should be made via:placing an order via the website b2b.greaterpolandcup.pl.

3.1.2. Applications for participation in the Expo will be accepted until the limit of available exhibition space is exhausted.

3.1.3. Submitting an order is tantamount to submitting an offer to participate in the Expo and accepting all the provisions described on the page and in these Regulations of participation.

3.1.4. Submitting an order does not constitute confirmation of participation in the Expo. The organizer will inform you about the acceptance of the placed order.  

3.1.5. The stand map has been made available to stay no later than the following day 31.10.2023. After this date, the Organizer reserves the right to make changes to the map, after prior consultation with the Exhibitors who will be affected by the changes.

3.1.6. Registration Is valid only if the applicant pays an advance payment to the Organizer’s account within 5 business days from completing the application.

In the transfer title, please enter: the name of the reported issuer and the word “advance payment”.

3.1.7. Advance payment amount:

  1. For stands equal and larger than 9 m²: 2500 zloty
  2. For stands up to 8 m²: 1000 zloty 

3.1.8. The advance payment amount will then be fully applied to the participation fee resulting from the order. An advance invoice will be issued for the advance payment amount.

3.1.9. The Exhibitor pays the fee for participation in the Expo in two installments:

  1. 1 installment is an advance payment, payable in within 5 business days from sending the notification,
  2. 2nd installment in the amount resulting from the order, less the amount of the advance payment, payable until 18.10.2023.
  3. Failure to pay any of the installments on time (the payment date is the date the money is credited to the Organizer’s account) will be treated as resignation from participation in the Expo and will result in termination of the participation agreement at the Exhibitor’s initiative.

3.1.10. After qualifying the Exhibitor to participate in the Expo, the Organizer sends the contract to the Exhibitor for signing via the autenti.com.

3.1.11. Any changes to the space order and participation agreement must be made in writing or e-mail under pain of nullity.

3.1.12. The Organizer reserves the right to refuse to accept an application for participation in the Expo (in particular due to the inconsistency of the offer with the thematic scope of the Expo).

3.1.13. If the applicant is not qualified to participate in the Expo, the Organizer will immediately will return the advance payment paid.

3.1.14. The fee for participation in the Expo includes in particular:

  1. fee for the lease of commercial space and other services resulting from orders, including the possibility of direct sales of their products 
  2. promotion of the Expo,
  3. general protection of the Expo provided by the Organizer,
  4. medical protection during the Expo,
  5. maintaining cleanliness and waste disposal according to specific rules

 

3.2. RESIGNATION FROM PARTICIPATION IN THE FAIR

3.2.1. Withdrawal from the participation agreement must be made in writing, otherwise it will be invalid.

3.2.2. Exhibitors who withdrew from the participation agreement after paying the invoice, but by 30.09.2023 , the amount of the payments made will be refunded, less the advance payment amount. The advance payment is a fee covering the Organizer’s costs related to servicing the Exhibitor until the Exhibitor withdraws from participation.

3.2.3. The organizer returns the amount referred to in point 3.2.2, within 7 days from the date of receipt of the letter or e-mail regarding withdrawal from the participation agreement.

3.2.4. In the event of withdrawal from the Expo participation agreement within the on 1.10.2023 r. or later, the Exhibitor is not entitled to a refund of previously paid fees.

 

3.3. FAIR SERVICES

3.3.1. Orders for services related to participation in the Expo should be made via:placing an order on the website b2b.greaterpolandcup.pl. The prices and conditions of the services offered are detailed on the order page.

3.3.2. The Exhibitor has the right to order paid forms of advertising specified in the offer.

3.3.3. The organizer is not responsible for the content of advertisements submitted for publication, as well as for the consequences of editorial errors.

3.3.4. If the Exhibitor publishes an advertisement with content that is inconsistent with applicable law or is offensive, scandalous or contrary to generally accepted principles of social coexistence, the Organizer has the right to remove such advertisements from the Expo area.

3.3.5. Advertising outside your own stand is subject to a fee and requires the Organizer’s written consent. Lack of such consent will result in the removal of such advertisements at the Exhibitor’s expense and risk.

3.3.6. Technical connections to the stands: electrical, water and sewage, compressed air, ICT, as well as services related to suspending elements to the permanent ceiling structure in the pavilions and other services provided on the premises of the Poznań International Expo (MTP) are provided exclusively by MTP. Organizer orders the above-mentioned connections for Exhibitors from MTP based on the order.

 

  1. BUSINESS RULES

4.1. The Exhibitor is obliged to have all required documents authorizing him to conduct business activity in accordance with the applicable regulations.

4.2. Trading in goods or services whose possession and offering is prohibited or restricted by law and applicable regulations is prohibited.

4.3. The Exhibitor undertakes to comply with applicable regulations regarding the introduction of appropriately marked goods into trade, compliance with the expiration dates and durability of food products intended for sale.

4.4. An exhibitor offering food products is obliged to conduct business in accordance with provisions of food law applicable to a given product category.

4.5. The Exhibitor is obliged to comply with the provisions of the Act on Counteracting Drug Addiction (OJ of 2005, No. 179, item 1485) and in particular regarding the ban on advertising and promotion of narcotic drugs, psychotropic substances, substitutes and new psychoactive substances; By accepting the regulations, the Exhibitor acknowledges that violating the regulations in the above scope may result not only in the consequences indicated in points 3.3.4., 5.2.1 – 5.2.3. but also result in individual legal liability of the Exhibitor. .

4.6. The Exhibitor is obliged to organize work and space in the stand area in accordance with the regulations applicable on the day of the Event compliance with legal provisions, guidelines of the Ministry of Development, Labor and Technology and the Chief Sanitary Inspectorate, in particular (if applicable) taking into account all restrictions, restrictions, prohibitions and orders, as well as in accordance with sanitary recommendations.

 

  1. ORDER REGULATIONS

5.1. The Exhibitor is obliged to comply with the order instructions issued by the Organizer.

5.2. Entry to the Expo area is allowed only for vehicles registered before the Expo by the Exhibitor and having an entry card received from the Organizer, with the driver’s telephone number entered.

5.3. Throughout the duration of the Expo, each vehicle on the premises of the Poznań International Expo must be marked with an entry card. Cars without an entry card with the driver’s telephone number and if it is impossible to contact the driver may be towed at the owner’s expense.

5.4. Detailed information regarding entry hours to the Expo area will be sent to Exhibitors in advance.

5.5. Dates and opening hours of the Expo for visitors: 

15.11, Friday, at 12:00 – 21.00 

16.11, Saturday, at 12.00 – 21.00 

5.6. Opening hours of pavilions for exhibitors and stand staff: 

15.11, Friday, at 04.00 – 12:00 (assembly), 12:00 – 21.00 

– entry to the hall by car is possible on Friday until 10:00. 

– Exhibitors are obliged to finish assembling stands and large construction elements by Friday at the latest 11.00 to leave free transitions.

16.11, Saturday, at 11.00 – 21:00 (expo) 21:00-00.00 (disassembly) 

17.11, Sunday, at 00.00 – 04.00 (disassembly)

– Exhibitors are obliged to complete the dismantling of stands and remove all stand elements from the hall by 04:00 on Sunday.

Each subsequent hour of dismantling is paid separately by each Exhibitor remaining in the hall:

PLN 500 net per hour from 04.00 do 07.00 on Sunday November 17

PLN 1,500 net per hour from 07.00 on Sunday November 17

Exceeding dismantling hours will be confirmed in the “Disassembly hours exceeded protocol during Hempathy Expo” (regret.1 to the Regulations), written down after the dismantling of the stand.

5.7. During the opening hours of the Expo, stands should be available to visitors.

5.8. It is prohibited to display and present offers (goods and services) at stands that are inconsistent with the thematic scope of the Expo. At the request of the Organizer, the Exhibitor should stop presenting such an offer.

5.9. Goods must not:

5.9.1. be displayed outside the stand,

5.9.2. be placed in passageways adjacent to the stand,

5.9.3. be displayed in a way that impedes the movement of visitors.

5.10. Advertising and promotional campaigns conducted outside the designated stand require prior arrangement and written consent of the Organizer.

5.11. The Exhibitor undertakes to display the sales price on the goods sold.

5.12. Exhibitors/stand contractors are obliged to:

5.12.1. before the start of the Expo – to remove packaging and waste remaining after the stand’s assembly and equipment from the stand and the surrounding area;

5.12.2. during the Expo – to maintain the aesthetic appearance of the stand, facilities and own gardens,

5.12.3. after the end of the Expo – to remove exhibits from the stand, dismantle the stand structure and equipment and restore the occupied exhibition space to its original condition.

Waste generated in connection with the assembly and disassembly of stands, as well as during the Expo, should be thrown into containers located in front of the entrances to the pavilion, subject to the ban on throwing away waste hazardous to health and the environment referred to in point 12.2 “Technical and fire regulations in force from January 1, 2018 on the premises of Nowoczesne Targi Poznańskie Sp. z o. o. “.

5.13. Removing goods from the stand and dismantling the stand before the end of the Expo are prohibited.

5.14. Activities described in point 5.13.3 can only be started after the Expo closes to visitors on the last day of the Expo.

5.15. If the Exhibitor leaves elements of the stand’s casing and equipment on the Expo grounds and does not remove them during the dismantling period, the Organizer has the right to impose a financial penalty on the Exhibitor, covering the costs of removing the left elements.

5.16. Elements of the stand’s casing and equipment left without notifying the Organizer and not removed by the Exhibitor during the dismantling period are considered abandoned property.

5.17. During the Expo, it is strictly forbidden to:

5.17.1. using open fire,

5.17.2. using heating devices without supervision,

5.17.3. conducting commercial activities outside designated positions,

5.17.4. leaving garbage, waste, impurities, etc.

5.18. It is prohibited to bring weapons, ammunition, explosives and items to the Expo grounds, the use of which may threaten the safety of persons staying on the Expo grounds.

5.19. It is prohibited to bring animals into the Expo area.

5.20. Smoking outside designated areas is prohibited throughout the entire Expo grounds.

5.21. The Organizer reserves the right to temporarily or permanently close the Exhibitor’s stand if the Exhibitor fails to meet the conditions referred to in these regulations.i.e., in particular in the case of:

5.21.1. presenting and selling goods that have not been declared or agreed with the Organizer,

5.21.2. not maintaining the aesthetic appearance of the stand and facilities,

5.21.3. displaying goods outside the designated place,

5.21.4. conducting advertising and promotional campaigns not agreed with the Organizer.

5.22. Closing the stand by the Organizer in the cases referred to in point 5.22 may be periodic, i.e. until the Organizer’s order is complied with, or permanent, i.e. until the end of the Expo.

5.23. Permanent closure of the stand in the cases referred to in point 5.22 is treated as a sanction for the Exhibitor’s failure to comply with the provisions of the participation agreement. In such a case, the Exhibitor is not entitled to a refund of the fees paid for participation in the Expo. The exhibitor is also not entitled to compensation, as closing the stand constitutes a sanction for his culpable actions.

 

  1. SECURING THE AREA

6.1. The expo grounds are secured by the expo security services.

6.2. The Exhibitor is obliged, both during the Expo period and during the stand assembly and disassembly periods, and in particular in the event of temporary stand closure, to secure goods, equipment and devices against possible damage or loss at its own expense and risk.

6.3. During the Expo, the expo pavilion is opened, closed and sealed by commission.

6.4. It is not possible to stay overnight in the pavilion during the Expo. After the end of the Expo on the first day of the Expo, the pavilion will be closed and sealed by the commission. On the second day of the Expo, the pavilion will be officially opened one hour before the Expo opens to visitors.

6.5. The exhibitor has the right to delegate his representative to the committee opening and closing the pavilions.

6.6. The Exhibitor is obliged to make all rooms available to the committee in order to check fire protection.

 

  1. LEGAL LIABILITY

7.1. The Organizer is not liable for any damage or loss to the Exhibitors’ property caused by third parties or solely due to the fault of the injured party.

7.2. The Organizer is not liable for damage to Exhibitors’ property caused by force majeure, e.g. fire, explosion, lightning, storm, flooding and interruption of water or electricity supply beyond the Organizer’s control.

7.3. Exhibitors should take out their own civil liability insurance and insure their property located on the expo grounds (exhibits, equipment and devices at the stand, stand construction and furnishing elements, private property, company vehicles, etc.), both for the duration of the Expo and as well as for the assembly and disassembly period.

7.4. The Exhibitor is financially liable for causing damage to MTP property (damage, destruction, loss). This responsibility also applies to companies building stands. The damage is assessed by MTP in the presence of a representative of the Exhibitors or stand contractor and the Organizer, which will be confirmed in an appropriate report.

7.5. Immediate notification of the LANDLORD about each case of damage or failure occurring during the term of the Agreement is required, under pain of the TENANT’s liability for the damage caused to the Landlord. The Exhibitor is obliged to notify the Organizer and the expo police station in writing immediately after discovering it.

7.6. Issuer burdens the obligation to conclude and maintain civil liability insurance (OC) and accident insurance (NNW) contracts during the rental period caused by circumstances for which he is responsibleExhibitor, with a minimum insurance sum of PLN 50,000.00 gross in the case of each insurance, for damage caused to the Subject of the lease and other propertyOrganizer or personal injury.

 

  1. COMPLAINTS

8.1. All complaints of Exhibitors against the Organizer should be reported in the form written.

8.2. Exhibitor complaints may be submitted up to and including the last day of the Expo.

8.3. After the deadline specified above, complaints will not be accepted.

 

  1. FINAL PROVISIONS

9.1. The Organizer reserves the right, in cases of circumstances beyond its control, to cancel, partially close, shorten or postpone the Event. In such cases, the Exhibitor is not entitled to compensation or a reduction in the fees for renting the exhibition space.

9.2. The Exhibitor should respect the applicable provisions of Community law of the European Union and the provisions of internal law of the Republic of Poland.

9.3. Any disputes that may arise from Exhibitors’ participation in the Expo will be resolved by the competent common court in Poznań.

9.4. For the resolution of any disputes, the text of these Regulations shall be binding.

9.5. The law applicable to the interpretation of the provisions of the Regulations is Polish law.
